You have a survey in Word, PDF, Excel, or some other format. Qualtrics needs a QSF file or an Advanced Format file. These are not the same thing, and Qualtrics will reject anything else. This guide shows you exactly how to bridge that gap in under 10 minutes.
What Qualtrics Actually Accepts for Import
Before converting anything, it helps to understand what Qualtrics can and cannot receive. There are exactly two supported import file types:
| Format | File Type | Best For | Supports Matrix Questions |
|---|---|---|---|
| QSF (Qualtrics Survey Format) | .qsf | Full survey imports, complex question types, display logic | Yes |
| Advanced Format | .txt .docx | Appending questions to an existing survey | Yes |
Standard Word documents, PDFs, Excel files, and CSVs cannot be imported into Qualtrics directly. Attempting to upload these will fail at the import step. The document must first be converted to QSF or Advanced Format.
File Types Pirai AI Converts to Qualtrics
Pirai AI accepts any of the following input formats and converts them to a Qualtrics-ready QSF or Advanced Format file:
| Your File | Extension | Common Source |
|---|---|---|
| Word document | .docx | Microsoft Word, Google Docs (downloaded) |
| Native PDFs, scanned documents, Word exports | ||
| Excel spreadsheet | .xlsx | Survey specs in tabular form, structured templates |
| CSV file | .csv | Survey data exports, structured question lists |
| Plain text | .txt | Simple questionnaire text, pasted content |
| XML file | .xml | LimeSurvey, SurveyMonkey, platform exports |
| Qualtrics survey | .qsf | Migrating between Qualtrics accounts or instances |
| LimeSurvey file | .txt | Export from LimeSurvey and save as .txt before uploading |
You can also paste plain survey text directly into the platform without uploading a file at all.

Convert NowHow to Convert and Import: Step by Step
-
1Upload your document to Pirai AI Go to platform.piraiai.com and upload your file. Accepted formats: .docx .pdf .xlsx .csv .txt .xml .qsf. LimeSurvey files: export and save as .txt before uploading. Or paste your survey text directly.
-
2Select Qualtrics as your target platform Choose Qualtrics from the platform list. Select QSF for a full survey import, or Advanced Format if you want to append questions to an existing survey.
-
3Download your converted file Download the .qsf file (or .txt / .docx for Advanced Format) from the Pirai AI platform.
-
4Open Qualtrics and go to Tools In Qualtrics, open your survey and go to the Survey tab. Click Tools in the top toolbar. Select Import Survey from the dropdown.
-
5Upload your file and import Click Choose File, select your converted .qsf or .txt file, and click Import. Qualtrics loads all questions and structure into the survey editor.
-
6Review and publish Check imported questions, add any display logic or branching conditions, and publish when ready. The structure is done. Logic is the only remaining step.
QSF vs Advanced Format: Which to Choose
Choose QSF (.qsf) when:
You want to create a new survey from your document. You need the full survey structure including display logic, embedded data, and survey flow. You need recode values preserved. This is the recommended format for most use cases.
Choose Advanced Format (.txt or .docx) when:
You want to append questions to an existing Qualtrics survey rather than creating a new one. Both formats support matrix questions. Advanced Format is simpler but does not carry display logic, embedded data, or survey flow settings.
One important note: QSF import is not available for Qualtrics Employee Experience project types (Engagement, Lifecycle, 360). For EX projects, use the Advanced Format import or add questions manually after import.
Why Not Just Copy-Paste into Qualtrics?
For a 10-question survey, copy-paste is fine. For anything larger, the numbers do not favour it:
| Survey Size | Manual Copy-Paste | Pirai AI Conversion |
|---|---|---|
| 10 questions | 30-45 minutes | Under 10 minutes |
| 50 questions | 3-4 hours | Under 10 minutes |
| 100 questions + matrix grids | 6-8 hours | Under 10 minutes |
Pirai AI also handles multilingual surveys (50+ languages with UTF-8 encoding), preserves custom recode values, and generates files that import cleanly without triggering Qualtrics format errors.
Supported File Types and Conversion Details
A reference index of every file type Pirai AI converts for Qualtrics import, and how each is handled.
- .docx (Word)
- Microsoft Word documents containing survey questions and answer options. Converted to Qualtrics QSF or Advanced Format. No template format required. Works with any Word document structure.
- .doc (Legacy Word)
- Older Microsoft Word format. Converted to Qualtrics QSF by first extracting all text content and survey structure, then generating the platform-ready output.
- .pdf (PDF)
- Native and scanned PDF files. Pirai AI extracts questions, options, and matrix grids from the PDF and converts to Qualtrics QSF format. Supports multi-page surveys.
- .xlsx (Excel)
- Excel spreadsheets containing survey question data in tabular format. Pirai AI reads columns for question text, response options, question type, block name, and recode values. Converts to Qualtrics QSF.
- .csv (CSV)
- Comma-separated value files containing structured survey data. Pirai AI parses the CSV and generates a Qualtrics QSF file. Particularly useful for REDCap Data Dictionary CSV files being migrated to Qualtrics.
- .txt (Plain text)
- Plain text files containing survey questions. If already formatted to Qualtrics Advanced Format specification, can be imported directly into Qualtrics. Otherwise, Pirai AI converts to QSF.
- .xml (XML)
- XML survey exports from LimeSurvey, SurveyMonkey, or other platforms. Pirai AI parses the XML structure and converts to Qualtrics QSF format.
- .qsf (QSF)
- Existing Qualtrics Survey Format files. Upload to migrate between Qualtrics accounts, convert to other platforms, or use as a base for further conversion. QSF-to-QSF migration preserves all question types and structure.
- LimeSurvey (.txt)
- LimeSurvey exports can be saved as .txt files before uploading to Pirai AI. The platform processes the content and converts it to Qualtrics QSF format, enabling migration from LimeSurvey to Qualtrics without manual re-entry.
- Plain text (pasted)
- Survey text pasted directly into the Pirai AI platform. No file upload required. The AI parses free-form questionnaire text and generates a Qualtrics QSF file.
- Google Docs
- Download your Google Doc as .docx (File > Download > Microsoft Word), then upload to Pirai AI. Converts to Qualtrics QSF in the same workflow.
- Scanned documents
- Scanned paper surveys saved as PDF. Pirai AI processes the PDF and extracts survey content for Qualtrics QSF conversion.
