1.1 Personal Information
We may collect personal information that you voluntarily provide to us, including:

1.4 How Your Documents Are Used — And What We Don't Do
When you upload a document to Pirai AI, it is used for one purpose only: to convert it into your target survey format. Your documents are never used to train, fine-tune, or improve any AI model.
Your document is processed, not stored for training. When you upload a Word, PDF, or Excel file, our AI reads and structures its content into a standardised Excel format, which is then used to generate your survey platform output. That is the full extent of how your document is used.
No AI model learns from your content. Pirai AI processes documents through the OpenAI API. Our OpenAI organisation has all data-sharing controls explicitly disabled, which means your questionnaire content, survey logic, and uploaded files are excluded from any model training or improvement programmes at the API level.
Your intellectual property stays yours. Your survey instruments, research design, and questionnaire logic belong entirely to you. We make no claim over them and use them only to deliver your conversion.
No respondent data, ever. We process only the documents you upload. We have no access to survey responses or participant data at any point.
1.5 Pirai AI Flow — Chrome Extension
Pirai AI Flow is a Chrome extension that works as a side panel assistant for Qualtrics dashboards. This section describes the additional data practices specific to the extension.
Data Collected by the Extension
Email address — collected for authentication via one-time passcode (OTP). No password is stored.
Qualtrics dashboard data — field definitions, widget configurations, filter settings, and page layouts are read from your Qualtrics dashboard and sent to our backend for AI processing.
Chat messages — natural language prompts you type are sent to our backend to generate widget and filter specifications.
Authentication tokens — stored locally in your browser's chrome.storage.local to maintain your session. Tokens are cleared on logout.
Data the Extension Does NOT Collect
Qualtrics credentials — we never access, store, or transmit your Qualtrics username or password.
Survey response data — the extension reads dashboard metadata (field names, widget types) but does not access individual survey responses or respondent data.
Browsing history — the extension only operates on *.qualtrics.com pages. It does not track, read, or store your activity on any other websites.
XSRF Token Usage
The extension reads a security token (XSRF-TOKEN) from your Qualtrics session cookies. This token is used exclusively to authenticate API requests back to Qualtrics on your behalf (e.g., creating widgets and filters). The token is never sent to Pirai AI servers or any third party.
Permissions
activeTab — to detect when you are on a Qualtrics dashboard page.
scripting — to read the XSRF token from Qualtrics cookies and inject a field reference panel into the dashboard page.
storage — to persist authentication tokens locally between sessions.
sidePanel — the extension's user interface renders as a Chrome side panel.
Host access to *.qualtrics.com — to read dashboard data and create widgets/filters via the Qualtrics API.
Host access to flowapi.piraiai.com — to communicate with the Pirai AI backend for authentication and AI processing.
Data Retention
Chat session history is stored on our backend for your convenience and is associated with your authenticated account. You may start a new session at any time. Authentication tokens stored locally are cleared when you log out of the extension.
1.6 Qualtrics API Toolkit — Chrome Extension
The Qualtrics API Toolkit is a free Chrome extension built for Qualtrics power users. It provides a no-code interface for bulk API operations, data preparation, and cross-instance migration. This section describes the data practices specific to the extension.
Everything stays in your browser. The Qualtrics API Toolkit processes all data locally. No file content, contact data, survey definitions, or transaction data is ever sent to Pirai AI servers.
Data the Extension Handles
Qualtrics API token — entered by the user and stored locally in chrome.storage.local. It is never transmitted to Pirai AI. It is used exclusively to make API calls directly from your browser to Qualtrics.
CSV and Excel files — uploaded for data preparation tools (CSV Comparator, CSV Data Prep, CSV Merger, Excel Merger). All processing happens in the browser using JavaScript. Files are never uploaded to any server.
QSF files — uploaded for the QSF to Excel tool. Parsed and processed entirely in the browser. Never transmitted externally.
Text IQ JSON exports — uploaded for the Text IQ to Excel tool. Processed entirely in the browser. Never transmitted externally.
Contact and transaction data — retrieved directly from Qualtrics via their API using your credentials and displayed in the extension. This data is never routed through or stored on Pirai AI servers.
Data the Extension Does NOT Collect
Survey response data — the extension does not access or process individual survey responses.
Qualtrics credentials — username and password are never requested or stored. Only the API token is used.
Browsing history — the extension does not track activity on any website. It only communicates with *.qualtrics.com endpoints.
Usage analytics — no usage events, button clicks, or user behaviour are tracked or sent anywhere.
API Calls
All API calls made by the extension go directly from your browser to Qualtrics servers (*.qualtrics.com). For certain cross-origin POST requests (such as survey migration imports), calls are routed through the extension's background service worker — this is a standard Chrome extension architecture and does not involve Pirai AI servers. No API request or response payload is stored by Pirai AI.
Permissions
storage — to persist your API token, selected data centre, and last used survey ID locally between sessions.
Host access to *.qualtrics.com — to make API calls directly to Qualtrics on your behalf, covering all Qualtrics data centre regions.
Data Retention
The extension stores no data on Pirai AI servers. Your API token and preferences are stored locally in your browser via chrome.storage.local and remain under your control. You can clear this data at any time by removing the extension or clearing Chrome's extension storage.
